Managing CRM Fields

Overview

Like Prospect Fields, you can create custom fields for CRM objects. Custom CRM fields can be used as filter criteria in Automations/Segmentations, Prospect Filters, and CRM Triggers.

Managing Fields

To view existing fields or add/remove custom fields, navigate to Settings > App Setup > Manage Fields and click either the Organizations or Deals tab. 

To add a new custom field:

  • Click the New button.
  • Select the field type.

You can view a field's usage in the system by using the drop-down menu to the right of the field. 

Editing Custom Fields

You can edit custom fields after they have been created. You cannot edit a system field.

To edit a custom field:

  • Navigate to the Organizations or Deals field management page.
  • Locate the appropriate field (use the search icon in the top-left corner to filter by name, identifier, or type).
  • Click the pencil icon to the right to edit the field

OR

  • Click the trashcan icon to delete the field.

While you can edit a field's name or picklist (if it's a multi-select field), you cannot edit the field identifier. If you need to change the identifier, you will need to delete and recreate the field. 

If you delete a field that is in use, the system will show you everywhere the field is used. We strongly recommend you replace or remove the field in the content before you delete the field.

Merge Tokens

Merge tokens act as placeholders for information found in an Organization or Deal field. For example, you could use a merge token to automatically insert an organization's name in an email. 

Organization Tokens

The system will format Organization tokens as follows:

%%Organization.Field_Identifier%%

You can find the field identifier on the manage Fields page, though it is easiest to add them in using the Insert Fields option found in most content builders. 

Deal Tokens

The system will format Deal tokens as follows:

%%Deal.First/Last.activity.Field_Identifier%%

Choosing First or Last tells the system to target the Deal that was either the first or last in the selected activity. The following are available activities:

  • Created
  • Modified
  • Won
  • Lost
  • Closed

To create a field to reference the name of the first deal won with the Prospect, we would use this field:

%%Deal.First.Won.Name%%

You can find the field identifier on the manage Fields page, though it is easiest to add them in using the Insert Fields option found in most content builders. 

Deal tokens are not support in Email Marketing, but they can be used in Sales Enablement emails.
