Oracle Eloqua

Overview

The Eloqua integration allows you to seamlessly sync prospects captured from capture forms, along with event metadata to Eloqua Campaigns.

Captello can also send prospects to Eloqua using webhooks to submit Eloqua forms. The table below shows the difference between the Eloqua Integration and Webhooks.

Eloqua Integration vs Webhooks

Integration

Webhooks

Integration

Webhooks

Time to sync records

Both On-Demand and on sync cycles (down to 15 minutes in between).

Instantly.

Data is sent through

An Eloqua campaign.

Submitting an Eloqua form.

Ability to constantly sync updates for synced records on 15-minute sync cycles.

Setting up a criteria for syncing records (such as form answer or a station).

Using on-demand syncing

Send records to multiple Eloqua accounts

Syncing prospects outside of capture forms

(using bulk actions or automations).

Syncing submissions event metadata

When connected, Captello automatically creates a custom object that will have entries to all synced records, along with 60 custom fields.

To add records to a custom object, a workflow needs to be added after an Eloqua submission.

For information on setting up Eloqua webhooks, refer to Webhooks Use Case: Sending Prospect Data to Marketing Automation Platforms | Eloqua.

Captello Custom Object

  • Once installed a new Custom Object called Captello Events Submissions will be created. As shown in the dropdown to the right in the screenshot below, Captello can store three types of data into the Eloqua Custom Object with each record linked to an Eloqua Contact:

    • all Event Metadata (Start Date, Owner, Event Name, etc.),

    • all Submission Metadata (Captured By, Capture Date, Capture Method, etc.), and

    • 60 custom fields, including 30 text and 30 large text fields (named CustomField1, CustomField2, CustomField3.. LargeCustomField1, LargeCustomField2, LargeCustomField3.. etc.).

Every field on your event form can be mapped to your Eloqua Custom Object, provided the Custom Object field is selected in the Captello event builder.

  • Standard submission data (Name, Email, Phone, Address, etc.) can be mapped from Event Forms to Captello Prospect fields from within the event builder. Then, the Captello Prospect Fields will sync to Eloqua Contact Fields based on your field mappings configured in the Cloud Feeder Configuration.

Since Captello sends Prospect data to Eloqua Contacts make sure you map your event form fields to Prospect Fields when building your Event.

“Oops! It seems like the campaign you’re trying to edit is either invalid or not yet active. Please ensure that your campaign is activated and valid before making any edits. If you need assistance, feel free to reach out to our support team”

  • Click the pencil icon to configure the Feeder.

Configure the Feeder

The Captello feeder can be set up to sync leads automatically or on-demand, or both at the same time.

Automatic Syncing

To turn on auto-syncing, select ‘Event’ or ‘Labels’ and then select the desired Captello event or label of events to sync from.

image-20250327-213924.png

To disable auto-syncing, select ‘None’.

Auto and on-demand syncing can be on at the same time. Furthermore, multiple Captello feeders can exist in the same campaign with mixed settings (ex. One can be only on-demand, while another can be auto-syncing).

An event label is a tag that is used to put events into a group. Selecting an event label will select the group of events belonging to that label. If desired, you can select multiple labels.

For contacts to sync from Event Labels:

  • The event start must be at most 1 month minus 1 day in the past, and at most 1 month minus 1 day in the future.

  • The end dates must be at most 1 month minus 1 day in the future.

- If you select ‘Event’, select the event form the event dropdown.

- If you select ‘Labels’, select the labels from the multi-select textbox

- Choose a sync interval: Choose the time between each sync cycle. The interval can be between 15 minutes and 6 hours.

The integration will also sync any submission edits to Eloqua’s contact records when it pulls submissions at each interval.

  • Click Save

  • After clicking Save, fields to be synced will appear.

    • Fields on the left side are Captello Prospect Record Fields.

    • Fields on the right side are Eloqua Contact Record Fields.

  • Click on the “+” and “-” buttons to add or remove fields.

image-20240429-161427.png

  • Turn on the on-demand toggle on the feeder.

image-20250327-224028.png
  • Name the action and click ‘Save’.

image-20250327-224059.png

image-20240429-161427.png
  • Click ‘Save’ when done.

image-20250327-224649.png
  • On Captello, add the ‘Sync to Eloqua’ action to a fulfillment action, automation, or a bulk action. In the following example, an action is set to fire upon a form submission.

  • From the capture form, the 'Actions (Submissions)' option is selected.

image-20250327-230115.png
  • Select ‘Sync to Eloqua’ from the action drop-down.

image-20250327-225512.png
  • Select the desired Captello capture form to sync leads from.

image-20250327-225714.png

This selection is needed even if the action is set as a submission action on a form.

  • Select the on-demand name that was set earlier.

image-20250327-225753.png

Your action is now setup to sync leads to Eloqua on demand!
