Fulfillment Actions
Overview
Fulfillment Actions are one or more actions that can be applied to a Prospect once they exhibit a specific behavior, such as download a document, visit a web page, submit a form, get captured by a lead capture form, watch a video, etc. Fulfillment Actions are added directly inline with marketing assets (Web Form, Trackable Content, Videos, etc.) and eliminate the need to create a full automation - making it much faster and easier to integrate automation with your marketing efforts. Fulfillment Actions are triggered in true real-time, with emails sending within one (1) minute, and give you the ability to have very granular level control over actions related to specific marketing items. Fulfillment Actions also are not affected by running automations as they operate independently from automations.
Commonly Used Fulfillment Actions
There are tens of fulfillment actions on Captello. Detailed below are the most common fulfillment actions and what they do.
Captello Internal Actions
Send Email: Sends a pre-built marketing email to the prospect.
Send Alert: Sends an customizable alert to a Captello user with prospect information.
Add to List: Adds prospects to lists.
Send to Workflow: Adds prospects to an automation.
Change Owner: Changes the prospect owner.
CRM Sync Actions
CRM sync actions are used to send/sync leads to connected CRMs, such as HubSpot, Salesforce, Marketo, Eloqua, etc.. Below are examples of CRM actions (it does not include all of the available action).
An integration needs to be set up for each of the following actions to appear.
Add to HubSpot: Sends the prospect to the connected HubSpot
Sync Lead to Salesforce.com: Syncs the lead to the connected Salesforce account (through the Salesforce Professional connector).
Send to Marketo: Sends the prospect to the connected Marketo account.
Where Can Fulfillment Actions be Added?
There are many places where Fulfillment Actions can be added, such as lead capture forms, managed events, tracked activities and 3rd party events.
Lead Capture Forms
There are many triggers to fulfillment actions on lead capture forms that appear upon clicking the drop-down of a capture form. The triggers are detailed below:
Actions (Audio Transcription Complete): Triggers when audio transcription for the submission is done. This is useful if audio transcription is mapped and is desired to be synced to your CRM.
Actions (Submission - New Prospect): Triggers when a submission is made with information of a prospect that does not exist in your Captello account.
Actions (Submission - Existing Prospect): Triggers after submitting a prospect that exists in your Captello account.
Actions (Doc Request): Triggers when documents are selected on a new submission.
Actions (Rating): Triggers when a rating is selected from the Rating form element. There are 4 action triggers by default, one for each rating.
Managed Events
Fulfillment Action triggers for managed events appear upon clicking the drop-down of any of the events. They are as follows:
Actions (Register): Triggers when a prospect registers to an event (including when a prospect is imported).
Actions (Check In): Triggers when a prospect is checked-in to the event.
Actions (Check Out): Triggers when an attendee is checked-out out from the event.
Actions (Ticket Deleted): Triggers when the prospect’s ticket gets deleted.
Actions (Ticket Changed): Triggers when the prospect’s ticket is changed.
Actions (Activity Checked in): Triggers when an attendee is checked-in to an activity.
Actions (Activity Checked Out): Triggers when an attendee is checked-out from an activity.
Actions (Session Checked In): Triggers when a attendee is checked-in to any of the event sessions.
Actions (Session Checked Out): Triggers when a attebdee is checked-out to any of the event sessions.
Actions (Add-On Redeemed): Triggers when an attendee redeems any of the add-ons at the event.
An attendee is a prospect that has been checked-in at least once to a managed event.

Depending on your specific license, you may have additional assets that can trigger Fulfillment Actions.
3rd Party Events
3rd party events are synced events from other platforms, such as Swapcard and Bizzabo. On the 3rd party events page, clicking on the drop-down of each event would show the following fulfillment action triggers:
Actions (Register): Triggers when an attendee registers to the event.
Actions (Check-In): Triggers when a prospect is checked-in to the event.
Actions (Session Check-In): Triggers when a attendee is checked-in to any of the event sessions.
Example: Adding Fulfillment Actions
To add a Fulfillment Action to a marketing asset first identify which asset you'd like to build the action(s) on. In this example, we'll add a Fulfillment Action on a Web Form.
Navigate to Content > Forms
Under the Actions column choose Actions (Submission) as shown below.
Select which actions you'd like to apply. Click the green refresh icon to allow the action to be applied only once to the same Prospect. When the action is repeatable, the action will trigger each time the Prospect trips the Fulfillment Action, in this case, submits the web form.
Determine who you want to apply the Fulfillment Action to. Fulfillment Actions can be applied to People (anyone with an email address, also known as Contacts), ISPs (internet service provider such as AT&T or an unidentified company), or Companies. Make your selections using the buttons on the right. Any option in grey means it's selected. In this case, the Fulfillment Action will trigger on anyone with an email and any identified companies.
Click Save.
General Settings
Fulfillment Actions can be activated or deactivated and scheduled to run during specific dates and times. Deactivated Fullfillment Actions will not trigger on Prospects regardless if criteria is met. The Fulfillment Action will only trigger when Active; however, if there is a Schedule in place then the action will not trigger if the date in which the criteria is met occurs outside of the Scheduled Start and End Date.
Send Email Fulfillment Action
The Send Email Fulfillment Action has unique features that give user's more control over email responses.
Pause/resume: This feature pauses all emails from going out. When the action is paused, all emails triggered by the Fulfillment Action will be held in the Send Queue. You can see queued emails by going to Content > Emails and clicking the Send Queue button
. Clicking the play button resumes the action and sends all queued emails. While an email is queued the email content can be changed. Queued emails will receive the updated email content once the action resumes.
Send time:
From Specific Date: Email will be sent on this date using the time the action is triggered. If a delay is added then the send time will include the specified time plus the delay.
From Capture/Trigger Date: Email will be sent once the lead is collected (at an Event) or the action is triggered. If a delay is added then the send time will include the delay.
From End of Event: Email will be sent on the last day of the Event. The start/end date is specified when creating a new Event. If a delay is added then the send time will be the last day of the Event plus the delay.
Example: Page-level Lead Scoring
Each web page is tracked in Lead Liaison when a visitor visits the page. To see your web pages and add a Fulfillment Action do the following:
Navigate to Content > Pages > Web Pages
Under the Actions column select Actions (Visit)
A good use case for Fulfillment Actions on web pages is page level lead scoring. For example, your Pricing page might be a very meaningful page on your website. If someone visitors your pricing page that's a good indication that they're interested, and more qualified than someone kicking tires. You could add 500 points to each person that visits the pricing page by using the Change Lead Score action within the Fulfillment Action.
Managing Fulfillment Actions
To view your Fulfillment Actions do the following:
Navigate to Automation > Fulfillment Actions
From this page, you can Edit, Deactivate, and Delete your Fulfillment Actions
You can also Delete a Fulfillment Action by opening it from the corresponding marketing asset and then clicking the Clear button as shown below.
Fulfillment Actions on Prospect Profiles
When triggered, the Fulfillment Action is logged on a person's Prospect Profile as an Automation with each specific action recorded under the Audit tab. See the screenshots below to see how this looks:
Fulfillment Actions vs. Automation
Notes
All actions execute in real-time with the exception of the Send Email action, which could take up to one minute to send.
For an Email (Open) activity, Fulfillment Actions will only trigger on the first email open.
Fulfillment Actions are available for customers with a license to marketing automation and visitor tracking.
When updating a set of Fulfillment Actions and adding a new action, only repeatable actions will trigger if the same Prospect triggers the Fulfillment Action again. One-time actions added after a Prospect has triggered a set of Fulfillment Actions will not get applied if the same Prospect triggers the Fulfillment Actions.
The default behavior for the Change Data Value action is to merge the value with other values if the field type is a multi-select pick list.
