Every Salesforce.com installation (account) is different and uniquely customized to fit a company's business needs. Custom fields are used to accommodate unique sets of data specific to a company's business. Lead Liaison easily integrates with Salesforce.com custom fields. Custom fields created in Salesforce.com are easily mapped to Lead Liaison's custom fields. This page will help you manage the process of dealing with custom fields in Salesforce.com to make use of them within Lead Liaison.

Understanding the Basics

Salesforce.com has a unique set of standard and custom fields for a lead, contact and account. Alternatively, Lead Liaison has a single set of standard and custom fields for all records. There is no concept of separate contacts or accounts within Lead Liaison. All standard Salesforce.com fields are available for mapping to Lead Liaison. Most standard Salesforce.com fields are automatically mapped to a Lead Liaison standard field.

Management of custom fields and field mappings is accessed via Settings > App Setup > Manage Fields in Lead Liaison

Removing a Custom Field in Salesforce.com

Steps to Take When Removing Custom Fields

Removing a custom field in SFDC will disrupt the synchronization process between Lead Liaison and SFDC.

Sometimes it's necessary to remove a custom field previously created in Salesforce.com. If a custom field is removed it will disrupt the synchronization process between Lead Liaison and Salesforce.com until one of the following two events occur, whichever occurs first. 

  1. Automatically = Once at night during an automated process. 
  2. Manually = By running Step 3 of the CRM Configuration Wizard. 

To avoid a disruption in service we suggest doing the following:

1. Delete custom field in SFDC and remove from SFDC lead/contact layout
2. Run Step 3 of the CRM Configuration Wizard (Import Metadata) immediately after deleting/remove custom field

Renaming a Custom Field in Salesforce.com

Renaming a custom field in Salesforce will not affect the integration between Lead Liaison and Salesforce. If the name of the field identifier (some_field_name__c) is changed this will remove the field in Lead Liaison and create a new one. Once a custom field is renamed in Salesforce we suggest renaming the Lead Liaison custom field for parity.

Adding a Custom Field in Salesforce.com

To add a custom field in Salesforce.com do the following:

In the steps below, we're defining a new custom field for a "lead". The same process can be repeated to add custom fields to a "contact" and "account" object in Salesforce.com.

  1. In Salesforce.com, go to 'Setup' > 'Customize' > 'Leads' > 'Fields'
  2. Under the 'Lead Custom Fields & Relationships' section click the 'New' button
  3. Choose the Data Type for your new custom field and complete the follow on pages
  4. Don't forget to add the new custom field to your layout and position on your layout page as needed

Want to add a new custom field in SFDC later on and have that synced with Lead Liaison? Just make sure you do the following steps::

1) Create the new custom field in Lead Liaison
2) Create the new field in SFDC
3) Run Step 3 in the CRM wizard
4) Map the fields in Lead Liaison

Adding a Custom Field in Lead Liaison

To add a custom field in Lead Liaison do the following:

  1. Click Settings > App Setup > Manage Fields
  2. Click the Add Field button
  3. Enter details of the new custom field:
    1. Name = Name you'd like to give this custom field. We suggest using the same name you used when adding the custom field to Salesforce.com
    2. Data Type = Type of data. Data types are explained below.
    3. Click the Save button when finished.
  4. The new custom field will appear in the grid below the Add New Custom Field section

Mapping Salesforce.com Fields to Lead Liaison Fields

Mapping Overview

All standard and custom Salesforce.com mappings can be changed. Access field mappings by going to Settings > App Setup > Manage Fields in Lead Liaison. You'll find five tabs on the 'Manage Fields' page. Each tab is explained below:

  1. System Fields = Create new Lead Liaison custom fields and view standard and custom Lead Liaison fields. 
  2. CRM Leads = Map CRM leads to Lead Liaison fields. 
  3. CRM Contacts = Map CRM contacts to Lead Liaison fields. 
  4. CRM Accounts = Map CRM accounts to Lead Liaison fields. 
  5. Email Marketing Contacts = View field mappings for email marketing fields mapped to Lead Liaison fields.

Bidirectional, from Salesforce.com to Lead Liaison and from Lead Liaison to Salesforce.com

It's recommended to use this mapping direction for all fields unless necessary otherwise. This type of mapping direction automatically updates Lead Liaison when fields in Salesforce.com change. Similarly, when fields in Lead Liaison change the same field is updated in Salesforce.com.

Adding New Custom Fields to Mapping Pages

There are three ways custom fields created in Salesforce.com appear on the respective mapping page within Lead Liaison. Each way is explained below:

  1. Automatically pulled into Lead Liaison during the CRM Configuration Wizard process. The CRM Configuration Wizard is accessed by going to Settings > Integrations > CRM.
  2. Automatically, after running the CRM Configuration Wizard, every night.
  3. Manually, by returning to the CRM Configuration Wizard, described in #1 above, and running Step #3 (Import Metadata) again. Click the 'Run Now' button as shown in the image below.
